OUR SERVICES
Financial Management
- We open a bank account for each Scheme, Trustees/Directors have control over the account
- Full administration and accounting books are kept
- Prepare monthly management accounts disbursed to Trustees/Directors
- Prepare monthly levy roll with disbursements and collection
- Assisting with annual budgets
- Assist with annual audit with appointed auditors
- Complete and submit all applicable statutory returns
Administration/Secretarial
- Of Monthly levy, utilities, and other charges Distribute monthly levy statements to owners.
- CSOS payments, CIPC payments Issuing of levy clearance certificates Assistance with changes to Management/Conduct rules Arrange.
- Attend AGM/SGM’s etc.

Skills Development Training
- Arranging training, information webinars for Trustees/Directors assisting with their fiduciary duties
- CPR / First Aid training as part of health and safety
Maintenance
- Assist trustees with maintenance issues relating to common property.
- Arrange and submit quotes obtained to the trustees.
- Liaise with contractors on scope of work
- Inspection of work done by contractors
Payroll / HR
- Payroll - management of salaries, wages etc.
- Drafting of employment contracts
- Drafting of job specifications
- Pay, UIF, PAYE and COIDA
- Maintain staff records – leave forms etc.
- All monies paid out are authorised by Trustees/Directors first
Advisory Services
- Advise on amendments to the Sectional Title Schemes Management Act (STSMA).
- Assist and advise on procedural matters for general meetings, special general meetings, quorum requirements, resolutions and voting rights.
- Assistance in enforcing rules as per BC or HOA’s rules adopted
Statutory records and Compliance
- Submit sectional title plan changes to the Community Schemes Ombud Service (CSOS)
- Keep and maintain a register of bondholders and owners in the scheme in line with the POPIA
- Submit any amended management & conduct rules to the CSOS for certification.
- Attend to change of Directors and submit to various bodies
Legal
- HODPM make us of experienced attorneys capable of managing any legal requirements.
- Collect outstanding levies or advise on the legal affairs of the scheme should the need arise.
Insurance
- Arranging all insurance cover for common property buildings or freehold
- All liability insurance policies are obtained that are required by law
- All claims submitted and facilitated with broker/insurer
